LAUC-LA Election Committee, Year End Report 1997/98

Biographical sketches were sent via LAUC-Talk and posted on the web. Ballots were sent in the traditional manner in print with 2 envelopes. It is much easier and a great deal less expensive to send the biographical information electronically.

All ballots were tallied on June 15th and the results were sent to LAUC-LA chair Keri Botello for forwarding to LAUCtalk and to LAUC statewide chair. The LAUC-LA bylaws changes passed by a wide majority.

A special election was held on September 24th and counted on September 28th. The special election was needed when June Liebert resigned her representative position and left UCLA. In addition, we had only elected 4 representatives instead of the traditional 5 in the June election, so we were actually electing 2 representatives during this special election.

This year the Elections Committee file has been weeded and reorganized. Folders are now by activity instead of year. Hopefully it will be easier to find information in the Elections Committee file in the future. Also, this year a new committee checklist was prepared as the previous one is obsolete. I am attaching this checklist along with my comments in various spots. Perhaps next years' committee can finalize these comments for future Elections Committees.

I would like to pose 2 questions regarding the LAUC-LA Elections Committee files. Should we bother to keep candidate biographies? This is getting to be quite voluminous material and takes up a great deal of space. My second question is how long should we keep elections material such as ballot samples, midyear reports, annual reports etc? Currently we have about 15 years worth of material and it is my opinion that 5 years is sufficient as long as we are certain that previous years have been sent to the archives.

Finally, I would like to thank my very diligent and indispensable committee member, Cathy Brown. Jay Baker was also a member but left midyear. I would also like to thank Keri Botello, LAUC-LA chair, Steve Fry, incoming LAUC-LA chair and Hannah Walker, past LAUC-LA chair, for their help, support and counsel.

ELECTION COMMITTEE PROCEDURES CHECKLIST:

  1. Order a rubber stamp with your campus address OR print out labels with your campus address.
  2. Be certain that you have 140+ envelopes in 3 different sizes for the election ballots. (See samples in the Election Committee file).
  3. Get in touch with Library Personnel and request a current print-out of the LAUC members and also mailing labels. Proof this list as it often has duplicates, nonlibrarians, and is not very up-to-date for new librarians.
  4. Either the Nominations Committee or the LAUC-LA chair will forward the Slate of Candidates. {NOTE: it is important to determine WHO will be sending the slate to the Elections Committee and when this slate is anticipated to arrive}.
  5. Solicit brief biographies from all candidates including the following information: education, professional experience, memberships, LAUC activities. {NOTE: some years the LAUC-LA secretary solicits the candidate biographies, so coordinate with LAUC-LA chair and secretary}.
  6. Design the general ballot and the divisional ballots as specified in Standing Rule 1. (See SAMPLE BALLOTS - LAUC-LA & SAMPLE BALLOTS - LAUC STATEWIDE).
  7. Compile the biographies and statements and submit to the LAUC-LA secretary for sending to LAUC-talk and the LAUC webpages.
  8. Mail the ballots by date designated in the annual LAUC calendar submitted by LAUC-LA chair.
  9. Within a couple of days after the election, the Election Committee meets to validate and verify ballots and then count ballots.
  10. Ballots should be counted no earlier than 5pm on the date of the election.
  11. Transmit the results to the LAUC-LA chair. S/he will submit the statewide results to the Statewide LAUC chair or LAUC secretary.
  12. Transmit the results to the LAUC-LA secretary and s/he will submit these results to LAUC-Talk and to the LAUC webpages.
